  • Download and use our mobile application (FundChamps on the Apple App Store or FundChamps on Google Play), or any other application of ours that links to this Privacy Policy; or

  • Engage with us in other related ways, including any sales, marketing, or events.

Fundchamps LLC operates on the TeamFundraising platform. TeamFundraising LLC (5900 Balcones Dr, Suite 100, Austin, TX 78731) is the technology provider that powers the Services. TeamFundraising processes data on behalf of Fundchamps LLC as a data processor. This Privacy Policy covers data processing by both Fundchamps LLC and TeamFundraising in connection with the Services.

We collect personal information that you voluntarily provide to us when you register on the Services, create or join a fundraising event, make a purchase, submit a W9 tax form, or otherwise contact us.

Account Information (Sellers/Participants):

  • Email address (required)

  • Profile picture (optional — processed and stored on Cloudflare R2)

  • Notification preferences (email, push, SMS)

  • Referral code (auto-generated)

Event Information:

  • Team name and fundraising purpose

  • Event dates (start and end)

  • Location (zipcode only — we do not collect precise GPS coordinates)

  • Fundraising goal

  • Number of sellers

  • Store notes and personal goals

Purchase Information (Supporters/Buyers):

  • Full name

  • Email address (also used for digital product delivery and order receipts)

  • Phone number (optional)

  • Shipping address (if shipping is selected — not collected for digital or pickup orders)

  • Support message (optional, limited to 200 characters)

  • Display name preference (public or anonymous)

Payment Data: We use Stripe to process all payments. Your payment card information (card number, expiration date, security code) is collected and processed entirely by Stripe and is never stored on our servers. Tax Information (W9): If you are a fundraising Manager required to submit a W9 tax form, this information is collected through TaxBandits, a third-party tax compliance service. We receive the tax form data, including your Taxpayer Identification Number (TIN), name, and address, which we may use to file 1099 forms as required by law. TaxBandits' privacy policy is available at https://www.taxbandits.com/privacy-policy/.

Sensitive Information: We only process sensitive personal information (Taxpayer Identification Numbers) when necessary for tax compliance purposes. We do not otherwise collect or process sensitive personal information.

Information Collected Automatically

In Short: Some information is collected automatically when you visit, use, or navigate the Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

The information we collect automatically includes:

  • Usage Analytics (PostHog): We use PostHog to collect usage data, including page views, clicks, interactions, and feature usage. On the web, certain user interactions may be captured automatically. Your user account identifier may be associated with analytics data to help us improve the Services. PostHog uses browser local storage (not cookies) for data persistence. Analytics data is used solely to improve the Services and is not sold to third parties.

  • Error and Performance Data (Sentry): We use Sentry to capture and diagnose technical errors. Error reports may include a user identifier (not personal information such as name or email), device type, app version, and operating system. Error data is used solely for debugging and improving the reliability of the Services.

  • Device Information: When using the App, we may collect device type, operating system version, and app version for compatibility and troubleshooting purposes.

  • Push Notification Tokens: If you enable push notifications on the App, your device's push notification token is stored to deliver notifications to your device. This token is cleared when you disable notifications or delete your account.

  • IP Address: Your IP address is collected implicitly as part of web and API requests. It is used for security purposes (rate limiting, fraud detection) and is not stored long-term or shared with third parties for advertising.

We do not collect:

  • Precise GPS or geolocation data

  • Biometric data (fingerprints, facial recognition)

  • Browsing history outside of the Services

  • Data from data brokers or advertising networks

5. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.

We process your personal information for the following purposes:

  • Account creation and authentication. We process your information to create and manage your account, verify your identity through one-time passcodes (OTP) sent to your email or phone, and maintain your authenticated session.

  • Providing the Services. We process your information to operate fundraising events, manage online stores, display leaderboards, track fundraising progress, process achievements, and deliver the core functionality of the Platform.

  • Order fulfillment. We process Supporter information to complete purchases, calculate shipping costs and sales tax, process payments through Stripe, send order confirmations, and coordinate delivery or pickup.

  • Communications. We process your information to send transactional notifications (order receipts, OTP codes, W9 status, payout updates) and informational notifications (event reminders, daily summaries, achievement alerts) via email, push notifications, or SMS based on your notification preferences.

  • Tax compliance. We process W9 tax form data (including TIN) to verify taxpayer identity through TaxBandits, file 1099 forms as required by law, and comply with IRS reporting obligations.

  • Analytics and improvement. We process usage analytics (via PostHog) and error data (via Sentry) to understand how the Services are used, identify and fix technical issues, and improve the user experience.

  • Security and fraud prevention. We process your information to detect and prevent fraud, block disposable email addresses, enforce rate limits on authentication attempts, verify Stripe webhook signatures, and protect the integrity of the Services.

  • Legal compliance. We process your information to comply with applicable laws, respond to lawful requests from authorities, enforce our terms, and protect our rights and the rights of others.

6. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We share information with specific third-party service providers necessary to operate the Services. We do not sell your personal information.

Third-Party Service Providers

We share your personal information with the following third-party service providers, each of which has its own privacy policy governing its use of your data:

Stripe

Purpose: Payment processing, sales tax calculation.

Data shared: Payment card details (collected directly by Stripe), billing information, shipping address, order details.

Postmark

Purpose: Email delivery.

Data shared: Email address, name (for personalization), email content.

TaxBandits

Purpose: W9 tax form collection and TIN verification.

Data shared: Taxpayer name, address, TIN, verification status.

Expo

Purpose: Push notification delivery (mobile app).

Data shared: Device push notification token, notification content.

Cloudflare (R2)

Purpose: Image and file storage, content delivery.

Data shared: Profile pictures, product images (no personal information beyond the images themselves).

PostHog

Purpose: Product analytics.

Data shared: User account identifier, page views, interactions, feature usage, device type.

Sentry

Purpose: Error monitoring and performance tracking.

Data shared: User identifier (not PII), device type, app version, OS, error context.

Public Information

Certain information is displayed publicly as part of the fundraising experience:

  • Seller/Participant stores: Your first name, profile picture, fundraising progress, and store note are visible to anyone with your store link.

  • Leaderboards: Your first name, profile picture, and amount raised may be displayed on event leaderboards.

  • Supporter names: If a Supporter chooses to display their name publicly (not anonymous), their first name and purchase amount may be visible on the Seller's store page.

  • Supporter messages: Optional messages from Supporters may be visible to the Seller.

Other Situations

We may also share your information in the following situations:

  • Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

  • Legal requirements. We may disclose your information where we are legally required to do so in order to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process, such as in response to a court order or a subpoena.

  • Vital interests and legal rights. We may disclose your information where we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, situations involving potential threats to the safety of any person, or as evidence in litigation in which we are involved.

We do not:

  • Sell your personal information to third parties for monetary consideration;

  • Share your personal information with advertising networks or data brokers;

  • Use your personal information for interest-based or targeted advertising; or

  • Share your personal information with third parties for their own marketing purposes.

7. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We use minimal cookies and tracking technologies, limited to what is necessary to operate the Services.

Cookies

  • Authentication Cookie (Web only): We use a single httpOnly cookie to securely store your authentication refresh token. This cookie is essential for maintaining your logged-in session, cannot be accessed by JavaScript, and is used solely for authentication. It is not used for tracking or advertising.

Local Storage

  • Analytics (PostHog): PostHog may use browser local storage (not cookies) to persist analytics identifiers across sessions. This data is used solely for product analytics and is not shared with advertising networks.

Mobile App

  • The App uses encrypted on-device storage (Expo Secure Store) to securely store your authentication refresh token. No cookies or tracking pixels are used in the App.

We do not use:

  • Third-party advertising cookies or pixels (no Meta Pixel, Google Ads, etc.);

  • Cross-site tracking cookies; or

  • Web beacons or tracking pixels for advertising.

Cookie Choices

Most web browsers are set to accept cookies by default. You can usually choose to set your browser to remove or reject cookies. If you choose to remove or reject cookies, this may affect your ability to remain logged in to the Services, but will not otherwise affect your experience since we only use one essential cookie.

8. MOBILE APPLICATION AND PUSH NOTIFICATIONS

In Short: We collect limited device data and may send push notifications with your permission.

Mobile App Data

When you use our mobile application, we may collect:

  • Device information: Device type, operating system version, and app version (for compatibility and troubleshooting).

  • Push notification token: A unique device token used to deliver push notifications (if you grant permission).

  • Photos: Images you choose to upload as your profile picture or store image, accessed through your device's photo picker. We do not access your full photo library — only the specific image you select.

We do not collect:

  • Precise GPS or location data;

  • Contact list or address book data;

  • Calendar data;

  • Call logs or SMS messages; or

  • Any background device data.

Push Notifications

We may request your permission to send push notifications regarding your account, fundraising events, purchases, achievements, and other service-related communications. If you wish to opt out from receiving push notifications, you may turn them off in your device's operating system settings or in the App's account settings.

Phone Numbers and SMS

If you provide your phone number, you acknowledge that we may use it to send you one-time passcodes (OTP) for authentication via SMS. Standard messaging rates from your carrier may apply. You may opt out of SMS communications (other than authentication codes) through your account notification preferences.

9. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy unless otherwise required by law.

We retain different types of data for different periods based on the purpose of collection:

  • Account information (name, email, phone): Until you delete your account, at which point it is anonymized.

  • Profile pictures: Until you replace or delete them, or until account deletion.

  • Transaction/order records: Retained indefinitely for accounting, tax compliance, and legal purposes (with seller information anonymized upon account deletion).

  • W9 tax form data (TIN, name, address): Retained as required by IRS record-keeping requirements (typically 7 years).

  • Authentication tokens (OTP, sessions): OTP codes: 10 minutes. Access tokens: 15 minutes. Refresh tokens: 60 days.

  • Push notification tokens: Until disabled by user or account deletion.

  • Analytics data (PostHog): Subject to PostHog's data retention policies.

  • Error logs (Sentry): Subject to Sentry's data retention policies (typically 90 days).

  • Event and store data: Retained for the Organization's reporting purposes; seller identity anonymized upon account deletion.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

10. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented the following security measures to protect your personal information:

  • Passwordless authentication: We use one-time passcodes (OTP) sent to your email or phone — no passwords are stored or transmitted.

  • Encrypted token storage: On mobile devices, authentication tokens are stored using encrypted device storage (Expo Secure Store). On the web, refresh tokens are stored in httpOnly cookies that cannot be accessed by JavaScript.

  • Payment security: All payment processing is handled by Stripe, a PCI-DSS Level 1 compliant processor. Payment card data never touches our servers.

  • Webhook verification: All incoming webhooks from Stripe and TaxBandits are verified using cryptographic signatures (HMAC-SHA256) to prevent tampering.

  • Rate limiting: OTP requests and authentication attempts are rate-limited to prevent brute-force attacks.

  • Disposable email blocking: Temporary and disposable email addresses are blocked to prevent fraudulent account creation.

  • Organization isolation: Data is isolated per organization — users of one organization cannot access data from another organization.

  • HTTPS encryption: All data transmitted between your device and our servers is encrypted using HTTPS/TLS.

However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure. We cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

11. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 12. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or terminate your account at any time.

Account Information

You may at any time review or change the information in your account by:

  • Logging in to your account and updating your profile settings on the App or the Site;

  • Contacting us at help@fundchamps.com.

Account Deletion

You may delete your account at any time through the account settings in the App or on the Site. Upon account deletion:

  • Your personal information (name, email, phone) is anonymized — replaced with generic placeholder values;

  • Your profile picture is replaced with a default image;

  • All active sessions and authentication tokens are revoked;

  • Push notification tokens and preferences are cleared;

  • Transaction records are retained (with anonymized seller information) for accounting and legal purposes.

Notification Preferences

You can manage your notification preferences (email, push, SMS) through your account settings. You may opt out of informational notifications at any time. Transactional notifications (order receipts, OTP codes, security alerts) cannot be opted out of as they are necessary for the operation of the Services.

Withdrawing Consent

If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. You can withdraw your consent by contacting us at help@fundchamps.com. However, this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Cookies

Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove or reject cookies, this may affect your ability to remain logged in to the Services.

13. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected.

We honor the Global Privacy Control (GPC) signal. If your browser sends a GPC signal, we will treat it as a valid opt-out request for the sale or sharing of personal information where applicable under state law.

At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online, other than the GPC signal described above. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Policy.

14. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: If you are a resident of certain US states, you are granted specific rights regarding access to your personal information.

This section applies to residents of states with comprehensive consumer privacy laws, including but not limited to: California (CCPA/CPRA), Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), Utah (UCPA), Texas (TDPSA), Oregon (OCPA), Montana (MCDPA), Iowa (ICDPA), Indiana (IDPA), Tennessee (TIPA), Delaware (DPDPA), New Hampshire (SB 255), New Jersey (SB 332), Nebraska (NDPA), Kentucky (KCDPA), Maryland (MODPA), and Minnesota (MCDPA). As new state privacy laws take effect, we will extend these rights to residents of those states as well.

Your Rights Under State Privacy Laws

Depending on your state of residence, you may have the following rights:

  • Right to Know / Access: You have the right to know whether we are processing your personal information, what categories of personal information we collect, the purposes for which it is used, and the categories of third parties with whom it is shared. You may also request a copy of the specific personal information we have collected about you.

  • Right to Delete: You have the right to request deletion of your personal information, subject to certain exceptions (such as legal compliance, completing transactions, or detecting security incidents).

  • Right to Correct: You have the right to request correction of inaccurate personal information we maintain about you.

  • Right to Opt-Out of Sale/Sharing: You have the right to opt out of the sale or sharing of your personal information for targeted advertising. We do not sell or share your personal information for targeted advertising, so there is nothing to opt out of.

  • Right to Limit Use of Sensitive Personal Information: You have the right to limit the use of sensitive personal information to purposes necessary for providing the Services. We only use sensitive personal information (TIN) for tax compliance purposes as required by law.

  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your privacy rights. Exercising your rights will not affect the quality or pricing of the Services available to you.

  • Right to Data Portability: Where applicable, you have the right to receive your personal information in a structured, commonly used, and machine-readable format.

  • Right to Opt-Out of Profiling: We do not engage in profiling that produces legal or similarly significant effects on consumers. We do not use automated decision-making for any purpose that affects your rights or access to the Services.

How to Exercise Your Rights

To submit a request to exercise your privacy rights, please contact us by:

Verification: Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system. We may ask you to provide information so that we can match it with information you have previously provided us (such as your email address associated with your account).

Authorized Agents: You may designate an authorized agent to make a request on your behalf. We may deny a request from an authorized agent that does not submit proof that they have been validly authorized to act on your behalf in accordance with applicable law.

Response Timeline: We will respond to your request within the timeframe required by applicable law (typically 45 days, which may be extended by an additional 45 days where reasonably necessary). We will inform you of any extension and the reason for it.

Fees: We do not charge a fee to process or respond to your request unless it is excessive or repetitive. If we determine that a request is excessive, we will tell you why and provide a cost estimate before completing your request.

Right to Appeal

If we decline to take action on your request, we will inform you of our decision and the reasoning behind it. If you wish to appeal our decision, please email us at help@fundchamps.com. We will respond to your appeal within the timeframe required by applicable law. If your appeal is denied, you may contact your state's Attorney General to submit a complaint.

California Residents — Additional Rights

California Civil Code Section 1798.83 ("Shine the Light"): California residents may request information about our disclosure of personal information to third parties for their direct marketing purposes. We do not disclose personal information to third parties for their direct marketing purposes.

CCPA Privacy Notice: Under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA):

  • We have not sold personal information in the preceding twelve (12) months.

  • We have not shared personal information for cross-context behavioral advertising in the preceding twelve (12) months.

  • We will not sell or share personal information in the future.

If you are under 18 years of age, reside in California, and have a registered account with the Services, you have the right to request removal of unwanted data that you publicly post on the Services. To request removal, please contact us at help@fundchamps.com and include the email address associated with your account and a statement that you reside in California. We will make sure the data is not publicly displayed on the Services, but please be aware that the data may not be completely or comprehensively removed from all our systems (e.g., backups).

Texas Residents — Additional Rights

Under the Texas Data Privacy and Security Act (TDPSA), Texas residents have the rights described above in "Your Rights Under State Privacy Laws." To exercise these rights, contact us at help@fundchamps.com. If we decline your request and you wish to appeal, please email us at the same address. We will respond to your appeal within 60 days.

In Short: Yes, we will update this policy as necessary to stay compliant with relevant laws.

We may update this Privacy Policy from time to time. The updated version will be indicated by an updated "Last updated" date and the updated version will be effective as soon as it is accessible. If we make material changes to this Privacy Policy, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. Data Access or Portability Requests

If you would like a copy of the personal information we hold about you, email help@fundchamps.com with details of your request, including the email address associated with your account. We will respond within the timeframe required by applicable law.

Account Deletion

To permanently delete your Fundchamps LLC account:

  1. Download the FundChamps app from the App Store (iOS) or Google Play (Android).

  2. Sign in with your email and one-time password.

  3. Open the Account tab.

  4. Scroll to the bottom and tap "Permanently delete your account."

  5. Confirm the deletion in the dialog.

Account deletion is currently only available in the mobile app. If you cannot access the app for any reason, email help@fundchamps.com with the subject line "Account deletion request" from the email address associated with your account, and we will process the deletion within 30 days.

What is deleted or anonymized immediately:

  • Your personal information (name, email address, phone number) is anonymized. Your name becomes a generic placeholder ("Unknown Person"), your email is replaced with a non-deliverable internal address, and your phone number is removed.

  • Your profile picture and any store pictures you uploaded are deleted from our image storage and replaced with a default image.

  • All active sessions and authentication tokens are revoked immediately on every device where you are signed in.

  • Your push notification tokens and notification preferences (email, push, SMS) are cleared. You will no longer receive any communications from us.

What is retained, and why:

  • Transaction and order records are retained indefinitely for accounting and tax compliance purposes (typically 7 years per U.S. IRS record-keeping requirements). Your identity is anonymized in these records, and they remain only as financial transactions, not personal data.

  • Fundraiser and store data (team name, fundraising goal, total raised) is retained for the organization's reporting purposes, but with your seller identity replaced by the anonymized placeholder.

  • Aggregate analytics (e.g., how many people viewed a store) may be retained in anonymized form, with no link to your personal identity.

Once anonymization is complete, the original personal data is no longer recoverable. This action cannot be undone.
